# Eftsure User Interface: Menus, Icons and Shortcuts

> Eftsure extends your existing D365 AP forms with menus, icon bars, toolbar shortcuts, and filters — so fraud prevention fits into your normal workflow.

Eftsure inside Dynamics 365 Finance & Operations does not require you to learn a separate application. Instead, it embeds directly into the AP forms you already use — vendor records, invoices, and payment journals — adding a set of consistent UI elements that give you real-time risk signals and fraud-prevention actions without breaking your existing workflow. This page explains each of those UI elements and how to access them.

## Finding the Eftsure Workspace

The **Eftsure Workspace** is your single entry point for all Eftsure-related activity in D365. You can find it in the standard **Workspaces** menu alongside all other D365 modules.

<Steps>
  <Step title="Open Workspaces">
    In the D365 navigation pane, select **Workspaces**.
  </Step>

  <Step title="Select Eftsure">
    Locate and click the **Eftsure** tile.
  </Step>

  <Step title="Mark as favourite (optional)">
    Click the star icon next to the workspace name to pin it to your personal workspace list for quicker access in future sessions.
  </Step>
</Steps>

## Personalising your home page

You can rearrange where the Eftsure tile appears on your D365 home page so it's always in the most convenient spot.

<Steps>
  <Step title="Open personalisation settings">
    On the D365 home page, go to **Settings > Personalise**.
  </Step>

  <Step title="Select Move">
    Choose the **Move** option from the personalisation toolbar.
  </Step>

  <Step title="Drag the Eftsure tile">
    Select the **Eftsure** module tile and drag it to your preferred position on the home page.
  </Step>
</Steps>

## Pinning workspace data to your dashboard tile

You can configure the Eftsure dashboard tile to surface your most critical information at a glance — so you see it the moment you land on the D365 home page.

<Steps>
  <Step title="Go to the Eftsure Workspace">
    Open the Eftsure Workspace from the Workspaces menu.
  </Step>

  <Step title="Open personalisation">
    Select **Settings > Personalise** from within the workspace.
  </Step>

  <Step title="Use the Select function">
    Choose **Select** from the personalisation toolbar, then click the specific counter or data element you want to show on the tile.
  </Step>

  <Step title="Pin to dashboard">
    Activate the **Pin to dashboard** checkbox for that element, then save your settings.
  </Step>
</Steps>

Once configured, your home page will display the Eftsure tile with the most important status counts visible without opening the workspace.

## The Eftsure Menu

The **Eftsure Menu** is an action-pane button present in the Eftsure Workspace and in all vendor, invoice, and payment forms. It is the primary way to trigger any Eftsure action from within a D365 form.

Clicking the **Eftsure** button opens a grouped dropdown with the following sections:

<Accordion title="Eftsure actions (local and platform)">
  **Local only (D365-side actions)**

  * **Invite existing vendor** — sends an Eftsure onboarding invitation to a D365 vendor that doesn't yet have an Eftsure record.
  * **Exclude** — includes or excludes a vendor from Eftsure synchronisation.

  **Available in Eftsure (platform actions)**

  * **Request details** — sends a request to the supplier asking them to provide or update information such as bank account details, address, contacts, or custom fields. *(Disabled if the vendor has no default bank account.)*
  * **Verification** — sends a bank account verification request for an existing vendor.
  * **Urgent verification** — notifies Eftsure to prioritise the verification status update.

  **Actions**

  * **Email** — sends an email directly to the supplier.
  * **Payment limit** — sets a maximum payment amount per transaction line for the vendor's bank account(s).
  * **Self-certification** — sets the self-certification level, approving a bank account and enabling payments for the selected supplier.
  * **Expire** — sets a bank account expiry date, marking the account inactive in Eftsure and blocking payments from both Eftsure and D365.
  * **Comment** — adds an authorised comment to the interaction history within the bank account's Eftsure section.
</Accordion>

<Accordion title="Sync">
  * **From Eftsure (System admin)** — pulls the current vendor definition from Eftsure into D365, overwriting D365 data with the latest Eftsure record.
  * **To Eftsure (System admin)** — pushes the current D365 vendor definition to Eftsure, ensuring Eftsure holds the most up-to-date information.
</Accordion>

<Accordion title="Open (navigation shortcuts)">
  * **Vendor** — opens the vendor record matching your current selection.
  * **Bank accounts** — displays all bank accounts linked to the selected vendor.
  * **History** — shows the complete recorded activity log for the selected supplier.
</Accordion>

<Accordion title="Eftsure Portal">
  * **Suppliers / Onboardings** — opens the Eftsure portal in a new browser window.
</Accordion>

<Accordion title="Contact Us">
  * **Support** — opens the support ticket form so you can log an issue with the Eftsure team.
</Accordion>

<Tip>
  Most actions in the Eftsure Menu support **multi-record selection**. You can select multiple vendors and trigger actions like verification requests or email in bulk.
</Tip>

## The New record menu

The **New** button in the Eftsure Workspace and vendor forms has been extended with Eftsure-specific options alongside the standard D365 new vendor option.

| Option                  | Description                                                                                  |
| ----------------------- | -------------------------------------------------------------------------------------------- |
| **New vendor** | Creates a vendor using the standard D365 process. |
| **New onboarding** | Sends a new Eftsure onboarding invitation to a prospective supplier. |
| **Employee onboarding** | Triggers an onboarding workflow specifically configured for vendors identified as employees. |

## Status icon bars

Eftsure adds a row of status icons to AP forms so you can read the risk picture for a vendor or bank account at a glance — without opening any additional panels. The icons appear in the **top-right corner** of the form when you have a record selected.

The icons displayed depend on the form you are working in:

| Form context | What you see |
| -------------------------- | ---------------------------------------------------------------------------------------------- |
| **Vendors, Bank accounts** | Full icon set showing all status dimensions — some icons are external links for deeper detail. |
| **Invoices, Payments** | A single payment recommendation icon showing whether the current line is safe to process. |

<Tip>
  Hover over any icon to see a tooltip with additional detail on potential blocks or the reason for the current status.
</Tip>

Eftsure uses four categories of status icons across AP forms:

<CardGroup cols={2}>
  <Card title="Verification status" icon="shield-check">
    Shows whether the vendor's bank account has been verified by Eftsure. Uses the same colour coding as the Eftsure portal: green (verified), orange (pending), red (failed or mismatch).
  </Card>

  <Card title="GovCode / ABN status" icon="building">
    Shows the status of the vendor's government registration number (e.g. ABN in Australia). Highlights discrepancies between what the vendor provided and the public register.
  </Card>

  <Card title="Tax registration status" icon="file-invoice">
    Shows the status of the vendor's tax registration as validated by Eftsure.
  </Card>

  <Card title="Email validity" icon="envelope">
    Shows whether the email address provided by the vendor during onboarding passed Eftsure's validity checks.
  </Card>
</CardGroup>

<Note>
  Status icons in grids (for example in vendor lists) show the bank account verification status for each individual row, making it easy to scan a list and identify vendors that need attention.
</Note>

## Eftsure toolbar shortcuts

A dedicated **Eftsure shortcut menu** appears in most form toolbars, next to the standard **Office** button. It provides quick navigation without opening the full Eftsure Menu.

The shortcut menu is divided into three sections:

<Tabs>
  <Tab title="Eftsure">
    Direct navigation shortcuts to the most-used features:

    * Onboarding (or new onboarding shortcuts)
    * Payee check
    * Workspace
    * Parameters
    * Support
  </Tab>

  <Tab title="Portals">
    Opens the Eftsure portal in a new browser window. The link is context-aware — it automatically targets the correct environment (sandbox or live) and the correct geography (AU or US) based on your current D365 environment.
  </Tab>

  <Tab title="Help">
    Provides contextual help links based on the form you are currently working in. In most Eftsure-related forms this shows a single help link. In the Parameters form and in payment journals, it may display multiple links covering different topics or partner solution documentation.
  </Tab>
</Tabs>

## Filters

Eftsure adds a **Filter** button to the action pane of all applicable AP forms, sitting next to the Eftsure Menu. It lets you narrow the grid to vendors or bank accounts matching a specific status — without writing a custom query.

**What you can filter by:**

* Any Eftsure bank account verification status (e.g. *Verified*, *Awaiting verification*, *Failed*)
* Vendor on-hold status

For payment journals, an additional filter option is available for payment lines (not just vendor bank accounts).

### Showing and hiding the filter

The Filter button is enabled for all users by default. Each user can choose to hide it on a per-form or global basis:

* **Hide from a single form** — open the filter menu and choose the hide option. The button disappears from that form only.
* **Hide from all forms** — go to **User Options > Reset Filter button** and set the Hide option to **Yes**. To re-enable, change the setting back to **No**.

To restore the filter after hiding it from a single form, go to **User Options > Usage data** and either **Delete** or **Reset** your usage history. The filter button will re-appear.

### Display modes

You can control how the Filter button looks and how much detail it shows:

| Mode          | Behaviour                                                                      |
| ------------- | ------------------------------------------------------------------------------ |
| **Icon only** | Hides the "Filter" label and shows only the filter icon, saving toolbar space. |
| **Simple** | Limits the filter menu to high-level status options. |
| **Advanced** | Shows additional filter granularity with more specific status options. |

### Filtering by Government Code status

The Filter button intentionally omits government code (ABN) status to keep the menu concise. To filter vendors by government code status, use either:

* **Eftsure Workspace > Registrations > All Vendors by registration**, or
* The standard D365 advanced filter or column sort on any vendor list form.

<Warning>
  Government code status filtering is not available through the Eftsure Filter button. Use the Registrations tab in the workspace or the native D365 advanced filter instead.
</Warning>
