# Payee Check: Quick Vendor Lookup & Onboarding in D365

> Use Payee Check in Eftsure for Dynamics 365 Finance & Operations to quickly search, verify, and onboard Australian and international vendors.

Payee Check is a quick vendor lookup tool that lets you search for a vendor by name or ABN, see their verified bank account status, check for duplicates, and kick off onboarding — all without leaving D365. It works for both Australian vendors and international vendors, and applies across all your enabled legal entities.

## Accessing Payee Check

You can open Payee Check from two places in D365:

* **Eftsure shortcut menu** — select **Payee check** from the Eftsure dropdown
* **Eftsure workspace** — select the **Payee check** tile from the workspace home

## Searching for a vendor

### Australian vendors

Enter a vendor name or a valid ABN in the search field. Payee Check looks up the Australian Business Register (ABR) and returns matching registered entities with a relevance score alongside their government registration number.

<Note>
  ABN lookup requires your organisation to be registered for the **ABR lookup** option in the Comfort Pack. If you do not see ABN results, contact your system administrator.

Once you select the company you want, Payee Check displays the registered business information. Enter the vendor's bank account details and Payee Check immediately queries the Eftsure verification database, returning the current bank account verification status and its icon.

### International vendors

For international vendors, fill in all mandatory fields:

* Vendor government country code
* Vendor name
* Account Code Type
* Banking details

Once the mandatory fields are complete, the same verification lookup and onboarding options become available.

  International vendor lookups require an **International licence**. For full details on the Account Code Type and international banking field requirements, see the International User Guide.

## Reading the bank account status

After entering valid bank account details, Payee Check performs an instant search against the Eftsure verification database and returns the bank account verification status icon next to the account.

If the vendor is not yet in the Eftsure database, you can use the **Onboarding** button to start the verification process directly from Payee Check.

## Searching for duplicates

Before creating or onboarding a vendor, use **Search for duplicates** to check whether a record already exists in your vendor master. The duplicate search matches on:

* Business name
* Government code (ABN or equivalent)
* Bank account name
* Bank account details

This helps you avoid creating duplicate vendor records and reduces the risk of paying the wrong account. The form remembers your last-used filters and begins searching as soon as it opens.

<Tip>
  To access Search for duplicates outside of Payee Check, go to **Accounts Payable > Vendors > All Vendors**, select a vendor, then choose **Vendor > Related information > Search for duplicates** from the ribbon.

## Searching across all legal entities

Use the **Search for Vendors** button to view the searched company across all legal entities with additional search criteria. Results show all matching vendor records that exist in D365. You can change the search criteria at any time using the same button.

  The **Search for Vendors** function requires **Vendor ratings** to be enabled under **Licence configuration**. Check with your system administrator if the button is not visible.
</Note>

## Creating a vendor from Payee Check results

If you want to create a new vendor or customer record from the search results, select the appropriate template using the **+ Vendor** or **+ Customer** button. Payee Check pre-fills the new record with the information it has already collected — name, government code, and bank account details — so you only need to add remaining fields such as address and contact details.

<Note>
  The default fields carried over depend on your selected template. You may need to manually update fields such as currency to match the new vendor's requirements.
</Note>

<Warning>
  **Do not use the Create function in Payee Check** if you want the new vendor to share the same Party ID as an existing record. Payee Check always creates a vendor with a new unique Party ID. To link a vendor to an existing party in the Global Address Book, use the **Match found** feature from the standard vendor creation form instead.
</Warning>

## Onboarding from Payee Check

If the vendor is not yet verified, select **Onboarding** to launch the Eftsure onboarding form pre-filled with the vendor details you entered in Payee Check — including government code details. Complete the remaining fields and submit to start the Eftsure verification workflow.

## Configuration requirements

### Australia — ABR lookup

ABN search requires a valid ABR Registration GUID configured at:

**Parameter > VAT Number checks > Australia > ABR**

Contact your system administrator to confirm this is in place.

### International — licence

Your organisation needs an **International licence** to select country codes outside Australia. Contact Eftsure if you need to enable this.

### Vendor and customer templates

If you are not using the Eftsure onboarding workflow and want to create vendors or customers directly from Payee Check, you need vendor and/or customer templates configured in D365.

#### Creating a vendor template (Australia)

    Go to **Accounts Payable > Vendors > All vendors** and create a new blank vendor. Fill in the mandatory fields (vendor name and group).
  </Step>

  <Step title="Open Record info">
    Select **Options > Record info** from the top ribbon.
  </Step>

  <Step title="Choose template type">
    Select either **User template** (available only to you) or **Company accounts template** (available to all users).
  </Step>

  <Step title="Name the template">
    Enter a name and description for the template and save.
  </Step>
</Steps>

<Note>
  * A **User template** is only visible to the person who created it.
  * A **Company accounts template** is visible to all users, but only system administrators can edit or delete it.
</Note>

Once the template exists, it appears as a selectable option when you create a new vendor using the standard D365 flow, and it also appears in the Payee Check **+ Vendor** template list.

#### Creating a vendor template (International)

Follow the same steps as above, but when creating the blank vendor, leave out any vendor-specific details such as government country code, address, and contact information. Only include mandatory and common fields that apply to all international vendors (name, group, method of payment, etc.).

#### Creating a customer template

Go to **Accounts Receivable > Customers > All customers**, select a customer record, then choose **Options > Record info**. Select either **System template** (all users) or **User template** (single user only).

## Managing custom templates

### Delete a user template

Go to **User options > Usage data > Record templates** to delete templates you have created.

### Edit or delete a company template

Go to **Common > Setup > Record templates** (requires system administrator access).

<Note>
  In some cases, even a system administrator cannot edit a company template if it has **ValidTimeState** enabled. In that situation, the only option is to delete the template and recreate it.
