# Vendor Payments: Eftsure Validation in Payment Journals

> Understand how Eftsure blocks unverified EFT payments, what journal line status icons mean, and how to use self-certification for urgent payments.

Eftsure adds one extra validation step to the standard Dynamics 365 FO vendor payment process. Before you can generate a payment file, every EFT payment line in the journal must pass an Eftsure status check — confirming that each vendor's bank account is verified and that you are paying the right payee at the right account. This real-time check guards against manual alterations and fraudulent bank account changes right up to the moment the payment file is created.

<Note>
  Eftsure strongly recommends keeping the D365 General Ledger parameter **Allow multiple transactions within one voucher** turned **off**, so each vendor payment transaction is associated to a single voucher. See [D365 configuration best practices](/admin/setup) for details.

## Payment journal status icons

Before you validate a journal, the Eftsure status icon on each payment line is **grey**. After validation, each line shows one of the following:

| Icon colour              | Status           | Meaning                                                                                 |
| ------------------------ | ---------------- | --------------------------------------------------------------------------------------- |
| 🟢 **Green**             | Verified         | Bank account verified by Eftsure. Safe to pay.                                          |
| 🟡 **Orange (sideways)** | Self-certified   | Bank account self-certified by your organisation. Safe to pay.                          |
| 🟠 **Orange**            | Not verified yet | Bank account not yet verified. Payment is blocked.                                      |
| 🔴 **Red**               | Invalid          | Bank account details are invalid or account name differs. Payment is blocked.           |
| ⚫ **Grey (excluded)**    | Excluded         | Vendor is excluded from Eftsure verification. Must use a non-Eftsure method of payment. |

The **Generate Payments** button only becomes available when all lines in the journal are in a payable status (verified, self-certified, or excluded with the correct method of payment).

## Create a vendor payment journal

Navigate to **Accounts Payable > Payments > Vendor payment journal** to begin.

    Click **New** and select the **Journal Name**.

  <Step title="Open the journal lines">
    Click **Lines** or click on the **Journal batch number** to open the payment lines view.
  </Step>

  <Step title="Add payment lines">
    Choose one of the three methods below to add lines to the journal.
  </Step>

  <Step title="Validate the journal">
    Click **Validate > Validate**. Eftsure runs a real-time check on every line and updates the status icons. A reminder message is displayed before validation to confirm this step is mandatory.
  </Step>

  <Step title="Generate payments">
    Once all lines show a valid status, click **Generate Payments**, select the **Method of Payment** and company bank account, complete the electronic report parameters, and click **OK** to produce the payment file.

## Payment methods

      Select the **Vendor Account**, enter a **Description**, and enter the **Payment amount**.

      Save the line. A reminder message confirms that the Eftsure validation step is required before generating the payment.

      Click **Validate > Validate**. Eftsure status icons appear on the line.
    </Step>

    <Step title="(Optional) Print payment report">
      Select **Print > Payments** to extract a payment report for review or pre-approval. The report includes Eftsure status signals for each line.
    </Step>

    <Step title="Generate payment">
      Once validated, click **Generate Payments** to produce the payment file. The payment status automatically changes from **None** to **Sent**.

    <Step title="Enter the payment line">
      Select the **Vendor Account** and enter a **Description**.
    </Step>

    <Step title="Settle invoices">
      Click **Settle transactions**, select the correct invoices, click **Mark selected**, then click **OK**. The payment amount is calculated automatically from the settled invoice balances.

    <Step title="Validate">
      Save the line (a reminder message appears), then click **Validate > Validate**.
    </Step>

    <Step title="(Optional) Print payment report">
      Select **Print > Payments** to extract the report for pre-approval.
    </Step>

    <Step title="Generate payment">
      Click **Generate Payments** to produce the payment file.
    </Step>

  Use this option to generate payments for multiple vendors at once.

  <Steps>
    <Step title="Create the payment proposal">
      In the payment journal, click **Payment proposal > Create payment proposal**. Filter by **Due date** or **Amount limit** and click **OK**.

      <Note>
        Enable **Exclude invalid payments** to automatically include only verified vendors, self-certified vendors, or vendors excluded from Eftsure verification in the proposal.
      </Note>
    </Step>

    <Step title="Filter by verification status">
      Use the built-in filter to remove invoices with undesirable statuses before confirming the proposal:

      | Filter                         | Value  | Effect                                         |
      | ------------------------------ | ------ | ---------------------------------------------- |
      | By default bank account status | Red    | Shows invoices with an invalid bank account    |
      | By default bank account status | Orange | Shows invoices with an unverified bank account |
      | By default bank account status | Green  | Shows invoices with a valid bank account       |
      | By vendor hold status          | Yes    | Shows invoices for vendors on hold             |
      | By vendor hold status          | No     | Shows invoices for vendors not on hold         |

    <Step title="Create payments">
      Remove any invoices you do not want to pay, then click **Create payments** to transfer the remaining lines to the payment journal.
    </Step>

    <Step title="Validate">
      Click **Validate > Validate**. Eftsure checks every line and updates the status icons.
    </Step>

    <Step title="(Optional) Print payment report">
      Select **Print > Payments** for pre-approval review.
    </Step>

    <Step title="Generate payments">
      Click **Generate Payments** to produce the payment file.
    </Step>

## Excluded vendors and method of payment

Eftsure validates payment lines based on both the **vendor bank account** and the **method of payment**.

If an excluded vendor (one exempt from Eftsure verification) is added to a journal using a method of payment that has Eftsure verification **enabled**, D365 displays an error when you try to validate the journal.

To resolve this, assign the excluded vendor's payment line a method of payment that has the **Eftsure verification** flag turned **off**. Configure methods of payment at **Accounts Payable > Setup > Payments > Methods of Payment**.

## Self-certification: a bypass for urgent payments

If you need to pay a vendor urgently but their bank account is not yet Eftsure-verified, self-certification lets an authorised user vouch for the bank account details internally, allowing payment to proceed.

<Warning>
  Self-certifying a **new** supplier is not recommended. Use self-certification only when you are confident the bank account details are correct and can be trusted. The **Eftsure Self-Certifier** D365 security role is required to use this feature.
</Warning>

### When you can self-certify

Self-certification is available for bank accounts with the following statuses:

* **Not verified yet** (orange thumb) — the account is not in Eftsure's database.
* **Account name differs** (red thumb) — the verified name does not match the name in your accounting software.

### Self-certify a single vendor

Access self-certification from any vendor-related form:

* **All vendors form:** **Eftsure > Actions > Self-certification**
* **Eftsure Workspace > Vendors:** **Eftsure > Actions > Self-certification**
* **Bank Accounts form:** **Eftsure > Actions > Self-certification**

Select one or more bank accounts for the vendor and confirm. Once complete, the status changes to a **sideways green thumb** (self-certified). All self-certified vendors are listed in **Eftsure Workspace > Vendors > Self-certified**.

### Self-certify in bulk

    Open the vendors list.
  </Step>

  <Step title="Select multiple vendors">
    Tick the checkbox next to each vendor you want to self-certify, or tick the top checkbox to select all.
  </Step>

  <Step title="Run self-certification">
    Click **Eftsure > Actions > Self-certification**.
  </Step>
</Steps>

<Note>
  You can self-certify multiple vendors in bulk, but you **cannot** remove self-certification in bulk for security reasons.
</Note>

### Cancel a self-certification

If you decide to put a vendor through the standard Eftsure verification process, or to make a vendor inactive:

    Click **Eftsure > Actions > Self-certification** from any vendor-related form.
  </Step>

  <Step title="Remove the self-certification">
    Select **Remove Self-certification** and click **OK**.
  </Step>

  <Step title="Status reverts">
    The sideways green thumb is removed and the status reverts to the vendor's current underlying verification status.
  </Step>

### Two-level self-certification

By default, self-certification requires only one approver. Your organisation can optionally enable a **two-level approval** process for additional control.

<Note>
  To activate two-level self-certification, contact the Eftsure Support team. Once enabled on the Eftsure portal, configure the approvers in D365 at **Eftsure Workspace > Parameters > Vendor groups > Self-certification**.
</Note>

**How it works:**

1. A Level 1 approver completes the self-certification (same process as single-level).
2. The Level 2 approver receives an email notification.
3. The Level 2 approver opens **Eftsure menu > Self-Certification — Pending 2nd Approval** and completes the second approval.
4. The vendor bank account is marked as self-certified only after both approvals.

<Note>
  A single user may belong to both Level 1 and Level 2 user groups, but the two approval actions must be performed by two **different** users.
