# Verification: Verify Existing Vendor Bank Accounts

> Send a verification request for existing or newly added vendor bank accounts, track statuses, and handle customer assistance escalations.

Verification applies when a vendor already exists in D365 but their bank account has not yet been verified by Eftsure, or when a new bank account is added to an existing vendor record. Unlike onboarding, verification does not create a new vendor — it confirms that the bank account details on file are legitimate before you include that vendor in a payment run.

## When to use verification

* A vendor was created manually in D365 and their bank account has never been verified.
* You have added a new bank account to an existing vendor record.
* A vendor's invoice shows different bank account details to those already on record (see [Vendor Management](/workflows/vendor-management) for the full change-of-bank-account process).

## Verification statuses

View all verification statuses in **Eftsure Workspace > Verifications > Legend**.

| Status                    | Meaning                                                                                                |
| ------------------------- | ------------------------------------------------------------------------------------------------------ |
| **Not verified yet** | The bank account was saved but is not in the Eftsure database. |
| **Pending** | A verification request has been sent; waiting for the vendor or Eftsure to respond. |
| **Awaiting verification** | The vendor's self-service link has expired (after 24 hours); Eftsure verification team has taken over. |
| **Accepted** | Bank account details verified; the vendor is ready for payment. |
| **Customer assistance** | Eftsure requires your help to proceed (see [Customer assistance](#customer-assistance) below). |

## Trigger a verification request

You can send a verification request from three different places in D365.

<Accordion title="From All vendors">
  1. Go to **Accounts Payable > Vendors > All vendors**.
  2. Select the vendor you need to verify.
  3. Click **Eftsure > Available in Eftsure > Verification**.
</Accordion>

<Accordion title="From the Eftsure Workspace">
  1. Go to **Eftsure Workspace > Vendors > Not verified yet / New supplier**.
  2. Select the vendor you need to verify.
  3. Click **Eftsure > Available in Eftsure > Verification**.
</Accordion>

<Accordion title="From the vendor's Bank Accounts form">
  1. Go to **Accounts Payable > Vendors > All vendors** and open the vendor record.
  2. Open **Bank Accounts**.
  3. Select the bank account to verify.
  4. Click **Eftsure > Available in Eftsure > Verification**.

  When you manually create a new bank account, its Eftsure verification status appears as **Not verified yet** as soon as the record is saved — if the account is not already in the Eftsure database.
</Accordion>

### Bulk verification

You can send multiple verification requests at the same time. Select several vendors before clicking **Verification**. When multiple vendors are selected, the wizard does not open — D365 sends individual verification emails to each vendor using the default verification email template.

## Send the verification

<Steps>
  <Step title="Open the verification dialog">
    Select the vendor (or bank account) and click **Eftsure > Available in Eftsure > Verification**. A dialog box opens showing all the bank account details to be verified.
  </Step>

  <Step title="Review and edit contact details">
    Confirm the vendor's email and contact details. You can edit these in the dialog if needed.

    <Note>
      Any edits you make here are used only for this verification request. They do **not** update the vendor master file. If the auto-populated information is incorrect, follow the [Change Request](/workflows/change-request) process to update the vendor master.
    </Note>
  </Step>

  <Step title="Optionally link a pending invoice">
    Select a pending invoice and expected payment date if applicable.
  </Step>

  <Step title="Click Send verification">
    Click **Send verification**. The vendor's status changes to **Pending**.
  </Step>
</Steps>

## Verification link expiry

<Warning>
  The self-service verification link sent to the vendor expires after 24 hours. After expiry, the status changes to **Awaiting verification** and Eftsure's verification team takes over the process.

  **Recommendation:** If the vendor has not yet responded, use the **Email** feature in the Eftsure menu to send a reminder to the vendor within the 24-hour window.
</Warning>

## Accepting verification

Once the vendor completes the self-service link, or once the Eftsure verification team confirms the bank account details, the status changes to **Accepted**.

For a full description of all intermediate statuses, refer to the legend in **Eftsure Workspace > Verifications**.

## Customer assistance

A verification moves to **Customer assistance** status when Eftsure cannot complete verification and needs your input. Common reasons include:

* The vendor declined to participate.
* Contact information is missing or invalid.
* Eftsure was unable to reach the vendor after 3 attempts over 3 days.

<Steps>
  <Step title="Review the assistance reason">
    Open the verification record and read the **Customer Assistance Reason** and any additional notes from the Eftsure team.
  </Step>

  <Step title="Choose how to proceed">
    You have two options:

    **Option A — Retry verification:**
    Click **Retry Verification** and supply the additional information requested by the Eftsure team (for example, an updated phone number). The status changes back to **Awaiting verification** and the process restarts.

    **Option B — Cancel and resend:**
    Click **Cancel** to cancel the current verification, then trigger a new verification with updated contact details.
  </Step>
</Steps>
