Eftsure inside D365 FO gives you three ways to contact suppliers electronically without leaving the system — a direct Comment that reaches the vendor through Eftsure services, a formal Email sent via D365’s email engine, or a direct email sent outside D365 from your mail client (Outlook, Gmail, etc.). This page covers the two in-system methods: Comment and Email.

Comment

The Comment feature sends a message directly to the email address the supplier registered with Eftsure. It is the fastest way to communicate with a vendor and automatically records the exchange in the Eftsure interaction history.

Select the vendor

Open any vendor who is available in Eftsure — from the All Vendors list, the vendor detail form, or any applicable AP form.

Open the Eftsure menu

Select the Eftsure menu from the ribbon or action pane.

Select Comment

Choose Comment from the menu options.

Write and send

Type your message in the text field and select OK to deliver it to the supplier via Eftsure services.

Email

The Email feature uses D365 data and services to send a formal email to a supplier. Unlike Comment, Email lets you select from multiple recipient addresses for the vendor, apply reusable message snippets, choose an email template, and preview the message before sending. A record of every email sent this way is stored in D365’s email history.

Select the vendor

Open the vendor you want to contact.

Open the Eftsure menu

Select the Eftsure menu from the ribbon or action pane.

Select Email

Choose Email from the menu options.

Set recipients

The recipient grid is pre-populated with the vendor’s known contacts. Add or remove addresses as needed.

Compose your message

Enter your message in the bottom-left section. You can apply a Snippet (a reusable text block configured in Eftsure Parameters > Snippets) to insert a pre-written message quickly.

Select an email template and preview

In the bottom-right section, select the email template you want to use. The preview updates to show what the supplier will receive, including any placeholders resolved with real vendor data.

Send

When you are satisfied with the message, select Send. The email is added to the D365 outgoing email queue.
Emails are added to the D365 outgoing email queue — they are not sent immediately. Delivery depends on your administrator having configured the batch email service. Use the batch email sending status button (permission required) to check whether your email was successfully sent. For setup details, see Configure email in D365.

Using placeholders

You can include dynamic placeholders anywhere in your message body or snippets. Eftsure resolves these automatically when the email is generated:
If you want the snippet message body to appear inside the email template, make sure your email template includes %Message% at the correct position.

Setting up email templates and IDs

Before you can use the Email feature, an administrator needs to configure an email ID and link it to an HTML email template. Here is how that setup works:

Create a reusable snippet (email body)

Go to Eftsure Parameters > Snippets and create a new entry. Use the left-hand editor to write and format your message, and check the right-hand preview to confirm the output. Snippets can include any of the placeholders listed above.

Create an organisation email template

Go to Organisation administration > Setup > Organisation email templates. If no template exists for Eftsure use, create a new one — fill in all mandatory fields including the Email message content. Select Edit to open the message content editor, then import and upload your saved HTML snippet template. When composing an email, the Template drop-down in the bottom-right corner of the Email form lists all available email IDs. Select the appropriate one to apply the template. The preview panel updates to reflect the combined output of the template and your current snippet message.

Reviewing email history

To see a record of emails already sent, use the Batch email sending status view. Select any row and choose Show message to see the exact content delivered to the supplier.
